You can schedule a Webex Meeting directly from Outlook, which allows you to collaborate remotely with coworkers and external users.

  • Open Outlook

  • Click Schedule Meeting.

  • Click Schedule Webex Meeting from the drop-down menu.

  • If this is your first Webex Meeting creation, the Webex Settings page will pop-up to allow you to setup different options

In the top section, you can create a meeting password for more security and extend the start time for your attendees to join.

  • The 3 tabs at the bottom allow you to choose audio options, attendee registration, additional resources like creating an alternate host, and adding content.

  • The Audio and Tracking tab lets you choose different audio options.

    • Audio connection type- WebEx Audio allows participants to use either their phone or computer (VoIP) to join an audio session. 

    • Entry and exit tone- Notify’s everyone in the meeting when other attendees enter or leave the meeting.

  • The Registration tab allows you to require attendees to register so that you can monitor who’s attempting to join.

  • The Resource tab allows you to add an alternate host if you aren’t attending the meeting you’ve scheduled.

  • Once you’ve chosen your Webex meeting information settings, click OK

  • Enter your Outlook meeting information.

    • Title

    • Required Attendees

    • Start and End Date/Time

    • Location

    • Agenda

  • Once you’ve filled out the meeting information, click Send.
