Email Communication Standards

 

In February 2024, major email platforms, Google, AOL, and Yahoo, implemented new requirements for email senders in order to reduce spam from being received by their users.

 

In these guidelines, if just 0.3% of email sent from @floridapoly.edu is marked as spam, Google and Yahoo will reject all messages from that domain or subdomain.

 

The guidelines are applicable to bulk/mass emails.

  • Bulk (or Mass) email refers to the practice of sending a large volume of emails to a substantial number of recipients simultaneously.

  • Emails that are generated due to a user's action are classified as a transactional email. Examples of transactional emails include emails for password resets, order confirmations, shipping notifications, etc.

  • Emails sent by an individual to another individual or group such as an email between two co-workers are considered conversational (or personal) emails.

 


What does this mean?

 

Emails that do not meet the specifications set by the receiving mail server, then that recipient will not receive the email.

 

Along with that, it creates the risk of potentially blocking any email from the @floridapoly.edu domain.

 

This can can create issues when Florida Poly is trying to contact:

- Students (Prospective, Current, and Alumni)

- Third-Party Vendors/Contractors

- Business Partners/Sponsors

- Potential/Long-time Donors

- The State of Florida Government

and many other outside email addresses that are an integral part of university operations.

 

If a user with a @floridapoly.edu email address:

  • Thinks their message is being blocked by their recipients' email provider without their knowledge

  • Needs to configure @floridapoly.edu email services with a new solution, system, or service

Any user that is sending bulk emails using the @floridapoly.edu domain or potential/current subdomains is to follow the standards showcased in the following image to make sure email communications from Florida Polytechnic University are not blocked.
