OneDrive – Share Files and Links

Microsoft 365 allows you to share files and folders with specific people, groups, or anyone with a link. This guide covers how to share files with specific individuals using the sharing window in Microsoft 365 apps such as OneDrive, SharePoint, Word, Excel, and PowerPoint.

How to Share a File with Specific People
Open the file or navigate to it in OneDrive or SharePoint.
Click the Share button (usually in the top-right corner or via right-click menu).
In the sharing window, click the permissions dropdown at the top.
Select Specific people.
If you do not want recipients to edit the file, uncheck Allow editing.
Click Apply.
In the To field, begin typing the name or email of the person you want to share with.
Select the person from the directory results.
Repeat to add additional recipients as needed.
Add an optional message, then click Send.
Sharing Permission Options
Anyone with the link — No sign-in required (use with caution for sensitive files).
People in Florida Polytechnic University — Only users with a Florida Poly account can access the file.
People with existing access — Only people who already have access can use the link.
Specific people — Only the people you specify can access the file.
